Records to be Kept

  1. A registered corporation shall keep and maintain complete and accurate records of the information for not less than 5 years after the date of creation or receipt of the record.

  2. The information referred to is the following:

    Energy Use Report and Energy Efficiency Improvement Plans

    • records of purchase of every type of fuel or energy commodity;
    • records of consumption of every type of fuel or energy commodity and other similar records;
    • detailed process diagrams showing the energy-consuming systems and the general process and energy flow and other similar records;
    • measurement data on energy consumption of energy-consuming systems or equipment and other similar records; as well as specifications and calibration records of measurement equipment or systems and other similar records;
    • measurement data on energy consumption of various systems or equipment before and after implementation of any energy efficiency measure and other similar records, as well as specifications and calibration records of measurement equipment or systems and other similar records; and
    • records relied upon by the corporation to provide the information referred to in section 8(4)(g) or (h) of the Energy Conservation (Energy Management Practices) Regulations 2013.

    MEES for Water-Cooled Chilled Water Systems

    • First Report, annual reports and all information used in producing the reports eg raw data and calculations1;
    • Technical specifications of chilled water system components;
    • All input parameters and settings for the permanent instrumentations;
    • Instruments’ calibration certificates from accredited laboratories and/or their factory calibration certificates from manufacturers;
    • As-built schematic drawings of the chilled water system;
    • As-built drawings of the chilled water system plant room layout indicating details of instruments locations and test plugs/thermowells.

    • (1) Information recorded and calculated in the BAS/EMS should be kept in the EMS for a minimum of 3 years.

  3. The records kept and maintained pursuant to this regulation may be kept and maintained in electronic form.
